FUNCTIONS OF THE VILLAGE FORUM All Residents of the village are invited to a meeting held by the Residents Committee on the last Friday of each month excluding the month of December. This meeting is called The Residents Forum. Invitations are sent to Residents one week prior to the meeting. This meeting is chaired by the Village President and last usually about 11/2 hour. At this meeting a representative from each sub-committee (usually the sub-committee convener) reads out a report on the activities of his/her sub-committee. These reports have already been presented to the Residents Committee on the Monday prior to Forum where any ideas, finances, business issues or problems relating to the residents welfare are discussed. After Forum all residents are invited to stay for afternoon tea. Minutes are taken at this Forum and copies distributed to each residence the following week. Extraordinary General Meetings of Residents may be called during the year by the Committee or at the request of 5% of eligible Residents, if issues arise which cannot be conveniently dealt with at a regular Forum. An Annual General Meeting (AGM) to which all residents are invited shall be held each year in March. Where a meeting relates to a special resolution a minimum notice of 21 days must be given as noted in Clause 14 of this Constitution. Voting at these meetings shall be in accordance with the Act. No resident is obliged to attend or vote at a meeting of Residents. If two or more Residents occupy the same premises in the village, each of them may vote. The Residents of a retirement village may decide, by a show of hands at any meeting at which a particular measure or action is discussed, whether or not the vote on the measure or action concerned is to be taken by means of a written ballot. If 50% or more of the Residents present at the meeting decide that the vote is to be taken by means of a written ballot, the vote must be taken by those means. Residents are to submit written requests to the Secretary for items to be placed on the Agenda to be given to the Secretary seven days before the scheduled date of the meeting. However, this does not stop residents raising concerns in Forum. Each month the President invites representatives of management to address Forum after the close of General Business. This gives residents the opportunity to ask questions. Management can only attend Forum by invitation and are never present whilst the business meeting is going on. The right to hold meetings without interference from management is enshrined in the NSW Retirement Villages Act and our operator always respects these rights.
