VILLAGE SECRETARIES FUNCTIONS OF THE COMMITTEE SECRETARY · The secretary shall keep a written record of decisions made at meetings of the Committee, in particular the votes on proposals requiring the consent of Residents under the Act.
· Distribute copies of minutes to the members of the Committee, printed or electronically.
· Notify Committee members in writing or electronically, of the date and venue for meetings of the Committee. The notice is to be given seven days (7) before the meeting and shall include an agenda.
· Conduct and receive correspondence on behalf of the Committee and table a list of the correspondence at each meeting of the Committee.
· Receive reports from Sub-Committees and record items requiring Committee consideration.
· Liaise with the Operator regarding the provision of administrative assistance to the Committee as required under Section 70 (7) of the Act.
· Arrange for the updating of this Constitution when amended in accordance with clause 17 of this Constitution.
· Assist the Forum Secretary where required and act in place of thereof in his/her absence. Be a member of the Committee Executive.

Function of the Forum Secretary The Secretary shall · Keep a written record of decisions made at meetings of the Forum, in particular the votes on matters requiring the consent of Residents under the Act. · Notify Residents of the date and venue for meetings of the Forum. Provide an agenda for the meeting, noting matters requiring voting personally or by proxy. · This notification and/or the agenda may be sent electronically or posted on the Notice Boards in the Community Centre and Waterfront no later than four(4) days before the meeting. · Distribute copies of minutes to all Residents, printed or electronically. · Assist the Committee Secretary where required and act in place thereof in his/her absence.
